Administrative Assistant / Legal Assistant

We are seeking a detail-oriented Administrative Assistant / Legal Assistant to join our team. The ideal candidate will provide support primarily for real estate conveyancing matters and corporate matters.

Previous law office and conveyancing and/or corporate experience preferred but willing to train the right person with a professional background.

Responsibilities

  • Prepare and manage conveyancing documents, including land titles documents, mortgage documents, trust letters, and other closing documents;
  • Conduct title and other searches;
  • Register documents at Land Titles, Personal Property Registry, and other organizations as required;
  • Assist with corporate filings such as annual returns, incorporations, amendments, dissolutions, and registrations;
  • Maintain and update corporate minute books, ensuring accuracy, proper resolutions, share registers, ledgers, and compliance with provincial corporate legislation;
  • Maintain and organize files and documents, physical and electronic;
  • Coordinate and schedule appointments;
  • Correspond with all parties in a professional manner;
  • Prepare letters, forms and documents in a professional manner;
  • Complete such other tasks as assigned from time to time.

Requirements

  • Proficiency in MS Office (Word, Excel, Outlook)
  • Knowledge of CORES, SPIN2, and ISC an asset;
  • Excellent organizational skills with the ability to prioritize competing priorities
  • Exceptional attention to detail
  • Ability to multi-task and handle a fast-paced work environment
  • Ability to adhere to strict deadlines
  • Ability to work independently
  • Strong written and verbal communication skills
  • Maintain client confidentiality and exhibit a high degree of professionalism
